Bulk importing candidates using a CSV file

  1. From your Dashboard, click the Add Candidate button.

  2. Click the Bulk import candidates button.

  3. Click the Download template link to download the CSV template and prepare your file.

    • If your organisation has custom fields, you can choose to download a template with or without those fields included.

    • Add a row for each candidate you would like included in the bulk import.

  4. Use the drag and drop area or click browse to upload your CSV file.

  5. Your imported candidates will appear in a scrollable list.

    • You can use the scroll bars to view all columns and rows.

    • You can also remove the CSV file here, should you wish to replace it.

  6. Select the required preconfigured bundle or individual checks.

  7. If the Volunteer Toggle is enabled for your company, toggle on the Volunteer switch if the candidates are volunteers.

    • Only toggle this switch on if all the candidates in the CSV file are volunteers. If you have a mix of volunteer and non-volunteer candidates, please upload these in two separate CSV files.

  8. Click the Continue button.

  9. You will see a screen showing a summary of your imported candidates.

    • New Candidates are those who don't match any of your organisation's existing candidates.

    • Already Exists are candidates whose email address matches that of an existing candidate.

    • Needs Review are candidates where no email match was found, but the first and last name match those of an existing candidate.

  10. If any duplicate candidates were detected in your CSV, the total count will be displayed.

    • You can click the Export CSV icon to export a list of the duplicates to review them before proceeding.

    • You can also expand the section to view the details of the duplicate candidates including their statuses.

  11. If your file has duplicate records, choose how you would like to handle them.

    • Skip all duplicates is the default.

    • Save as new candidates creates a new candidate for each duplicate. You may wish to use this option when you've confirmed that the candidate is genuinely a different person.

    • Update existing candidates can be used to add more checks to existing candidates.

  12. Click the Confirm & Import button to proceed.
    Alternatively, you can use the Back button to go back to the upload step, should you wish to upload an alternative CSV file.

  13. The new candidates will appear in your Dashboard.
