Navigating the Dashboard

Your dashboard is where you land when you sign in — it lists every candidate, along with an at-a-glance view of their checks and status. This guide covers each part of the dashboard, including how to filter the list to find the candidates you need.

  1. The filter bar along the top helps you find specific candidates or groups of candidates.

  2. Click the Add Candidate button to add a new candidate and select the checks you want to launch.

  3. Use the search bar to find a candidate by name or email.

  4. In the candidate table, some column headers have an arrow you can click to sort the candidate list by that column.

  5. The first column contains a checkbox for each candidate — tick one or more to select them, or tick the checkbox in the header to select all candidates on the page.

  6. Ticking one or more checkboxes opens the bulk actions bar, letting you act on several candidates at once — including sending reminders, tagging, and archiving. By default, actions apply only to the candidates you've selected. To apply an action to every candidate in your company, regardless of your current filters or selection, click the number selected and switch to use all. Click it again to switch back.

Use All

Use all applies to every candidate in your company — not just those matching your current filters or selection. Use this with care, particularly for Delete or Archive.

The following table explains what each action icon does:

Action

What it does

Send reminder

Sends a reminder email and SMS to selected candidates who have not yet submitted their form. Reminders are also sent to eligible referees who have not completed their reference. Candidates with a completed or canceled status are skipped entirely (including their referees).

Tag

Adds a tag to selected candidates while keeping any existing tags. You can also remove all tags from the selected candidates when this option is available.

Delete

Deletes selected candidates. You'll be asked to type a confirmation before continuing, as this action cannot be undone.

Archive

Archives selected candidates.

Export CSV

Downloads a CSV report containing candidate details and check information for the selected candidates.

Assign Candidate

Reassigns selected candidates to another user.

Set as hired

Marks selected candidates as hired. This option is only available when renewals are enabled for your company.

  1. The Status column shows the candidate's overall status as a colour-coded badge — yellow for candidates who haven't submitted their form, blue for in-progress, green for completed, red for overdue, and grey for cancelled.

  2. Click the candidate's name to open their profile, where you can update their details, manage background and reference checks, and view their history.

  3. If you or someone in your team added a reference code when creating a candidate, it appears beneath the candidate's name.

  4. If your company has volunteers enabled, candidates marked as volunteers when they are created show a Volunteer badge beneath their name.

  5. If a candidate has been tagged, you'll see it here, just beneath their name. Tags are a flexible way to label and group candidates, such as identifying priority hires or candidates requiring follow-up.

  6. The Check Types column shows an icon for each of the candidate's checks. The icon indicates the type of check — a person for a reference check, a passport for a right to work check, and so on. Its colour shows how that check is progressing, using the same colour system as the Status column. For reference checks, a separate person icon appears for each referee, coloured to reflect that referee's individual status.

  7. For background checks, a red paperclip appears once the check is complete if the result contains information that requires your attention — for example, if the candidate has a criminal record or does not have the right to work.

  8. An orange alert may appear when a result requires your attention but is not necessarily negative — for example, a right to work result with visa conditions attached.

  9. For completed checks, the review badge shows the current review status: a green tick means approved, an orange alert means needs review, and a red alert means not approved. For reference checks, a referee's icon shows a red alert if they have raised a warning. The red paperclip, orange attention alert, and referee warning alert take priority over the review badge and are shown in its place. Even when the review badge is not visible, you can hover over the icon to see the review status.

  1. Together, the icon, colour, and badge let you see what each check is, how it's progressing, and whether it needs your attention.

  2. Hover over any check icon to see its name and status in plain text, including any available sub-status, review status, result, or attention information. For reference checks, the hover shows the referee's name along with the overall reference check status.

  3. The Role and Department columns show the values entered for the candidate when they were created. These fields are optional, so they may be blank.

  4. The Assigned To column shows which user the candidate is assigned to.

  5. The Brand column shows the brand assigned to the candidate, which determines the styling and content of the emails they receive.

  6. The Created column shows when the candidate was added.

  7. The Actions column, on the far right of each row, provides four quick actions for each candidate.

  8. The first icon takes you to the candidate's Background Checks tab, where you can view their check results and download their reports.

  9. The second icon opens a history window, where you can see a full timeline of activity for the candidate.

  10. The third icon archives the candidate. If the candidate is already archived, this becomes a Restore action instead. Archived candidates remain visible on the dashboard by default. Use the Status filter to exclude them from the list.

  11. The last icon deletes the candidate. As this action cannot be undone, you'll be asked to confirm before the candidate is deleted.

Filtering the candidate list

  1. Use the filters above the candidate list to narrow the results so you can find the candidates you need.r

  2. Remove individual filters at any time, or clear all filters to return to the full candidate list.

  3. The Status filter lets you quickly view candidates by status, with broader options such as Active, which includes all candidates who are not archived or cancelled.

  4. Use the Tags filter to find candidates with specific tags. You can select more than one tag to view candidates with any of the selected tags.

  5. The Team filter lets you view candidates from one or more teams.

  6. Use the Brand filter to view candidates assigned to one or more brands.

  7. The Role filter lets you find candidates associated with a specific job role on the current page.

  8. System filters let you filter candidates based on the results of specific checks. For example, you could find candidates who have the right to work but have conditions attached to their visa.

  9. Use Created within to filter candidates by when they were added, or Completed within to filter by when their screening process was completed. Select a date range to narrow the candidate list.

  10. The Assigned To filter lets you view candidates assigned to one or more team members, making it easy to focus on your own candidates or view those assigned to another team member.
