In this article, we'll walk you through how to set up and edit Email communication settings. This is where you control the emails Checkmate sends to your candidates and referees — how they look, who they come from, and what they say.
While signed in to your Checkmate account, click your profile icon in the top-right corner of the screen.
Click Company Settings.
Click the Branding tab.
Click on the three-dot menu and choose Edit to open the brand editor.
Click Email to manage your candidate and referee email settings.
Use the Email Communication toggle to turn email on or off for this brand.
Turning email off will stop all emails to candidates and referees associated with this brand. In most cases you'll want to leave this on.
Enter the Brand Email address — this is the address your emails are sent from.
If you leave it blank, emails will be sent from the default Checkmate email address.You can add an email banner that appears at the top of every email.
For best results, use an image that's 560 by 190 pixels, so it displays crisply without being stretched or cropped.Use the crop tool to adjust your banner, then click Apply crop to save your changes.
You can delete the banner to revert to your brand logo.
Use the Email logo alignment dropdown to choose whether to align your logo to the left, centre, or right.
Switch on Customisation to use custom email templates, and select the email template to use for each email.
When Customisation is off, Checkmate uses its standard email templates.
Email Templates
Custom templates are created and managed in Email Templates under Company Settings.
Candidate Request — this is the very first email a candidate receives, inviting them to get started by completing their candidate form.
New Checks Added is sent when you add more checks to a candidate who has already received a Candidate Request email.
New Referee Nomination is sent when you add additional referees for an existing candidate.
Replace Referee is sent when a referee needs to be replaced. It asks the candidate to nominate a replacement.
The Candidate Portal Invitation invites a candidate to the candidate portal, where they can view and manage their checks in one place.
New Request to Referee is sent to a referee once a candidate has nominated them to complete a reference.
Click Save once you are happy with your changes.
